Job Title: Administrative Assistant

Reports To: Managing Attorney

Summary: Responsible for providing administrative support such as relaying incoming correspondence, greeting visitors, and performing diversified clerical duties in a professional manner by performing the following duties.

Duties and Responsibilities include the following. Other duties may be assigned.

  1. Answers multi-line telephone system, takes accurate messages and transfers telephone calls to the appropriate person in an efficient manner.*
  1. Greets and screens incoming visitors in a professional manner and promptly notifies appropriate person of their arrival.*
  1. Receives and signs for courier deliveries and notifies appropriate personnel that packages have arrived.*
  1. Receives, review, and distribute incoming correspondence and prepare outgoing mail or correspondence in a timely manner.*
  1. Operates standard office equipment as necessary, including but not limited to computer/laptops, printers/scanners, and fax machines.*
  1. Types correspondence and various documentation in proper format and proofreads/distributes as assigned.*
  1. Maintains proper response letters on computer for various incoming correspondence.*
  1. Files correspondence and documents as necessary.*
  1. Scan, file and maintain all case files or other correspondence as necessary.
  1. Receive, review, and respond to inquiries through Scorpion (or other applicable website vendors).
  1. Communicate effectively and professionally with all colleagues, vendors, clients, and any other individuals the firm does business with.*
  1. Resolve any issues with broken equipment by either fixing it or coordinating with 3rd party vendor to correct.*
  1. Work collaboratively and in coordination with colleagues to provide utmost customer service.*
  1. Maintain certifications, stay up to date with CLE credits and complete all required trainings in a timely manner.*
  1. Maintains confidentiality at all times with all correspondence, including but not limited to verbal, written, and etc.*

Qualifications:

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:

To perform this job successfully, an individual should have knowledge of word processing software.

Education/Experience:

High school diploma or general education degree (GED); and equivalent combination of education and experience.

Knowledge, Skills, and Other Abilities:

  • Professionalism

  • Effective communication both written and verbal
  • Ability to speak another language, preferred
